Objective: To guide the steps for processing a user's name change request.

1.    Ticket Creation:

    Ensure that a ticket is created on behalf of the user.

    The user must provide the EXACT name change they desire.

    Importance: Documentation of all initiated steps.

2.    View and Respond to Ticket:

    View the ticket and respond to the user within the ticket.

    Response Template: "Thank you for reaching out to the team. We are evaluating this request and will get back with you as soon as possible."

3.    Coordination with HR:

    Contact the HR team as they have access to Namely.

    HR will process the name change through Namely.

    Note: This process may take some time, so patience is required.

4.    Confirmation of Name Change:

    Ensure everything is confirmed after the name change.

    Confirmation with the user is necessary.

5.    Application Updates (Okta Admin):

    Adjust all individual applications by entering the new email address.

    Applications to Update:

    Docusign

    Veeva

    ComplianceWire (Ensure merging of all trainings as 2 accounts will be created)

    Exception: Applications that will not change:

    Non-Employee IT Onboarding Form

    MirumLand

    0365 Quarantine

    New Hire Onboarding (Add at start date, remove at week's end)

    Reason: No username or password requirement due to the nature of the Bookmark application.

6.    Step 5: Ticket Update and User Notification:

    Update the ticket to reflect the changes made.

    Notify the user that their account has officially been updated.

7.    Process Complete!
