For any users going from contractor to Full Time Employee conversion.




Steps: 

  1. In Okta, update username and primary email (remove -temp). 
    1. Wait for Office365 to reflect change
  2. In Okta, set current email address as an alias.  
    1. Set Field in Okta > O365 Proxy Address = "smtp:(old email address)"
  3. Do not run Namely import until the okta profile is updated below.
  4. In Okta, Import from Namely and Confirm User Match. 
  5. In Okta, Update Assignment & Application Username to reflect new account. Please note that if it has anything other than Mirum Pharma email to remove and make it (firstname.lastname@mirumpharma.com) 
  6. Confirm that apps have been converted from "Individual" to "Mirum Employees"
    • Hit "Select assignments to convert" and then search up the user and hit "Convert Selected". You do NOT need to do this for Namely
    • Or you can hit "Convert All Assignments" which will make the changes for all FTE accounts
  7. Confirm the Office 365 License is correct
  8. Check to make sure duplicate Box account is not created.  IF so remove\delete.
  9. Update Zoom email.
  10. Notify App Team to update records in application (DocuSign, ComplianceWire)
    1. In DocuSign, update email in Profile and clear old Federated ID.
    2. In ComplianceWire: UserID, Email, User Type
      1. In Administrative View>Administration>User & User Groups>Merge Users>Complete the necessary steps to merge accounts. Refer to CW documentation. (Employee needs to click on CW tile on date of conversion)
      2. Note user groups that have been manually added need to be added to the target account. Best to take pictures of account differences before completing the merge.
      3. Send a message to GxP Training Training@mirumpharma.com to let them know that this user has been merged if they are marked GxP = Yes.


Laptop: 


It is important to check and see if the user has a registered Mirum device.

  1. Log into Intune (https://intune.microsoft.com/#home
    1. Devices > All Devices
  2. Search for the new hires name
  3. Click on the asset 
  4. Copy the serial 
  5. Navigate to (https://pcsupport.lenovo.com/in/en/warranty-lookup#/
    1. If under warranty (except devices is months away from being out of warranty) --> Keep device
    2. If not under warranty --> Replace Device 
  6. Pull a newer device from inventory and setup under the users account 
    1. Make sure to inform the user that you will be resetting password to create account on new machine 
    2. Once doing so, enter the Okta username and password then finish setting up
  7. Create shipping label and return label (UPS Shipping



IMPORTANT: MAKE SURE THAT AFTER YOU ARE DONE WITH THE SETUP, TO HAVE THE USER LOG OUT AND BACK INTO THEIR MICROSOFT APPLICATIONS. THIS WILL PREVENT THE (C) AND FILES NOT SHOWING TO BEGIN TO WORK PROPERLY.
